inari events - Terms and Conditions

                                                                                     Terms & Conditions

 

These Terms & Conditions apply to digital photo booth and related event services provided by Inari Events (“we”, “us”, “our”) to the person or organisation making the booking (“you”, “your”, “the client”).


                                                                                     Booking & Payment


1.1 A £75 non-refundable booking deposit is required to secure your booking.

1.2 Unless otherwise agreed in writing, the remaining balance is due 28 days before the event date.

1.3 Your booking is not confirmed until the required deposit has been received and Inari Events has issued confirmation.

1.4 Where we agree to provisionally hold a date while awaiting payment, the date may be released if the deposit is not received within the period stated by us.

1.5 Payments must be made using one of the payment methods accepted by Inari Events.


Cancellations & Date Changes


2.1 Cancellations and requests to change an event date must be made in writing by email to hello@inarievents.co.uk.

2.2 The following cancellation charges apply:

  • More than 28 days before the event — booking deposit retained. 
  • 14–27 days before the event — 50% of the total booking value is payable. 
  • 13 days or fewer before the event — the full booking value is payable. 

2.3 We may agree to transfer a booking to another date where the new date is within 12 months of the original event date and Inari Events is available.

2.4 If we are unavailable for the requested replacement date, the original booking will be treated as cancelled and the applicable cancellation terms will apply.

2.5 Date changes requested within 28 days of the event may incur a reasonable administration charge where additional work or costs are involved.

2.6 Any refund of payments other than the non-refundable booking deposit may be reduced by non-recoverable third-party transaction charges where legally permitted.


Cancellation by Inari Events & Events Outside Our Control


3.1 In the unlikely event that Inari Events is unable to provide the booked service because of illness, serious equipment failure or another circumstance beyond our reasonable control, we will contact you as soon as reasonably possible.

3.2 Where we cannot provide the booked service and cannot agree a suitable alternative with you, payments made for services we cannot provide will be refunded.

3.3 Inari Events will not be responsible for failure or delay caused by circumstances outside our reasonable control, including severe weather, road closures, venue closure, government restrictions, major transport disruption or other comparable events.


Hire Duration & Setup


4.1 Your booking confirmation will state the agreed booth operating period.

4.2 Setup and dismantling take place outside the booked operating period wherever reasonably possible and do not reduce the agreed booth hire time where normal venue access is available.

4.3 We normally require approximately 60 - 75 minutes for setup.

4.4 If access to the venue or agreed setup area is delayed, restricted or materially different from the information provided to us, the booth start time may be affected.

4.5 Where Inari Events is required to arrive substantially earlier than necessary or remain on site during an extended period when the booth cannot operate, an additional charge may apply where agreed in advance.


Travel, Access & Venue Requirements


5.1 Travel is included for events taking place within North Somerset, Somerset, Bristol and South Gloucestershire.

5.2 Where Inari Events is attending a venue with which we have an approved preferred-supplier or venue-partner relationship, travel will be included regardless of location, unless otherwise agreed in writing.

5.3 Events outside our standard service area and not covered by a venue-partner arrangement may be subject to an additional travel fee. Any applicable travel charge will be confirmed before the booking is accepted.

5.4 Parking charges, tolls, congestion charges, ferry costs or other exceptional access costs are not included unless specifically agreed and may be charged separately where applicable.

5.5 The client must provide accurate venue details and notify us of any known restrictions affecting loading, unloading or setup.

5.6 Suitable parking and reasonable loading/unloading access must be available.

5.7 We recommend an approximately 4m × 4m area for the complete Inari Events setup. The exact space required may vary depending on the selected backdrop, package and venue layout.

5.8 The setup area must be level, safe and suitable for the equipment, with access to a suitable standard 240V power supply nearby.

5.9 Unless specifically agreed otherwise, our standard digital booth setup is intended for indoor use.

5.10 The client must notify us in advance of stairs, restricted access, unusual loading arrangements or any other circumstances that could materially affect setup.


Equipment & Guest Conduct


6.1 The client is responsible for taking reasonable steps to ensure guests treat Inari Events staff, equipment and props appropriately.

6.2 Inari Events may suspend or terminate the service where behaviour is threatening, abusive or unsafe, or where continued operation creates a reasonable risk of injury or damage.

6.3 The client may be responsible for the reasonable repair or replacement cost of Inari Events property deliberately or negligently damaged, lost or stolen by the client or their guests.

6.4 We will provide reasonable evidence of any repair or replacement costs claimed.


Technical Issues & Connectivity


7.1 All reasonable steps are taken to check and maintain our equipment, but technical faults can occasionally occur.

7.2 Where a technical issue arises, we will take reasonable steps to restore the service as quickly as possible.

7.3 Where a significant part of the booked service cannot be provided because of a fault for which Inari Events is responsible, we will consider an appropriate partial refund or other reasonable remedy having regard to the amount of service lost.

7.4 Inari Events is not responsible for interruption caused by guests, venue staff or other third parties disconnecting, moving, damaging or interfering with our equipment.

7.5 Features that depend upon internet connectivity, including certain instant-sharing functions, may be affected by the availability, speed or reliability of internet access at the venue. Where appropriate, media may instead be made available following the event.


Digital Media & Delivery


8.1 Photos, GIFs and videos created using the Inari Events digital booth are digital products.

8.2 Event media will normally be provided to the client through our chosen secure digital delivery or gallery service following the event.

8.3 We aim to make the client's event media available within 3–5 working days following the event. This is an estimated delivery period rather than a guaranteed deadline.

8.4 Event media may be retained securely by Inari Events for up to 12 months following the event to support delivery, re-download requests, customer service and service administration.

8.5 After this period, event media may be permanently deleted without further notice. Clients are responsible for downloading and securely backing up their event media following delivery.

8.6 Although reasonable precautions are taken to protect event media, digital files may occasionally be lost or corrupted because of circumstances outside our reasonable control. Nothing in these Terms & Conditions excludes any rights or remedies that cannot legally be excluded.


Privacy & Use of Images


9.1 Personal information and event media are handled in accordance with the Inari Events Privacy Policy below.

9.2 Guests will be provided with appropriate information about the capture and processing of their media when using the digital booth.

9.3 An email address or other contact information entered by a guest solely to receive booth media will not, by itself, be treated as consent to receive unrelated direct marketing from Inari Events.

9.4 Where Inari Events relies on consent to use identifiable guest media for promotional purposes, an appropriate choice will be provided.

9.5 Where consent is relied upon, it may be withdrawn by contacting Inari Events. Withdrawal does not affect processing that lawfully took place before consent was withdrawn.


Liability


10.1 Nothing in these Terms & Conditions excludes or limits liability where doing so would be unlawful.

10.2 Subject to the above, Inari Events is not responsible for loss or damage caused by circumstances outside our reasonable control or by the acts or omissions of guests, venue personnel or unrelated third parties.

10.3 Clients and guests remain responsible for their own personal belongings.


Agreement


11.1 By completing our booking process and confirming acceptance of these Terms & Conditions, you acknowledge that you have read, understood and agreed to them.

11.2 The version of these Terms & Conditions applicable to your booking will be the version provided or made available when your booking is confirmed.

Depending on how you interact with Inari Events, we may collect and process:

  • Your name, email address and telephone number. 
  • Enquiry and booking information.

  • Correspondence and consultation information. 
  • Photographs, GIFs and videos created using our digital booth. 
  • Contact details voluntarily entered by booth guests to receive their media.

How We Use Your Information

  • Respond to enquiries and provide information about our services. 
  • Create, administer and fulfil bookings.

  • Capture, store and deliver digital booth media. 
  • Deliver booth media to guests who request it. 
  • Provide customer support and respond to re-download requests. 
  • Manage cancellations, complaints or disputes.

  • Carry out marketing where permitted by applicable law and, where required, appropriate consent has been obtained. 


Our Lawful Bases


Depending on why we are using personal information, we may rely upon:

Contract - where processing is necessary to take steps requested before a booking or to provide the services you have booked.

Legal obligation - where processing is necessary to comply with legal, accounting, tax or regulatory requirements.

Legitimate interests - where appropriate, we may process limited personal information for reasonable business purposes such as service administration, security, record management and protecting our legal rights, provided those interests are not overridden by the rights and interests of the individual.

Consent - where consent is the appropriate basis, including certain optional marketing activities or uses of identifiable media.


Booth Guests


When you actively use an Inari Events digital booth, photographs, GIFs and/or videos may be created.

These may form part of the event media supplied to the person or organisation that booked Inari Events.

Where you voluntarily enter an email address or other contact information to receive your booth media, we use that information to provide the requested digital delivery and associated service administration.


Providing your contact details for media delivery does not, by itself, mean that you have agreed to receive unrelated marketing emails from Inari Events.


Where we ask for consent for a separate purpose, such as certain promotional uses of identifiable media, this will be presented separately where appropriate.


Selected Event Media


Inari Events may use selected photos, GIFs or videos from events to showcase our services on our website, social media and other promotional channels where we have an appropriate lawful basis to do so.


Where we rely on our legitimate interests, we consider the nature of the image, the reasonable expectations of the people shown and the potential impact on their privacy before using it.


We do not use every image captured at an event for promotional purposes and take particular care with images involving children or circumstances that may reasonably be considered private or sensitive.


If you appear in media used by Inari Events and would prefer us not to use it, please contact hello@inarievents.co.uk. We will consider your objection promptly and, where appropriate, remove the media from channels under our control.


Where consent is the more appropriate lawful basis for a particular use, we will seek that consent separately.


Marketing


We may send marketing communications where we are permitted to do so under applicable data-protection and electronic-marketing laws.

Where we rely upon consent, you may withdraw that consent at any time.

Providing an email address for the purpose of receiving booth media will not, by itself, add you to an Inari Events marketing list.

Where someone asks us not to send marketing communications, we may retain the minimum information necessary to ensure that we continue to respect that request.


How Long We Keep Your Information


We do not keep personal information for longer than reasonably necessary for the purpose for which it was collected, subject to any legal, accounting or regulatory requirements.


Our general retention approach is:

Enquiries - retained while an enquiry is active and for a reasonable follow-up period. Unsuccessful or inactive enquiries will be periodically reviewed and deleted or anonymised when no longer reasonably required.

Active bookings - information required to manage a booking will be retained throughout the booking and event-administration process.

Operational and consultation information - reviewed following the event and minimised or deleted when it is no longer reasonably required.

Event media - full event media may be retained for up to 12 months following the event, after which it may be permanently deleted.

Financial and tax records - retained for the period required by applicable accounting, tax and legal requirements.

Marketing preferences and consent records - retained for as long as reasonably necessary to administer the marketing relationship and demonstrate or manage those preferences.

Marketing objections - minimal information may be retained where necessary to ensure that we continue to respect a request not to receive marketing.

Selected promotional media - periodically reviewed and retained only while there is an appropriate basis and continuing business purpose for its use.


                                                                                Sharing Your Information


We do not sell your personal information.


Where necessary to operate Inari Events and provide our services, limited information may be processed by trusted service providers that assist us with services such as:

  • Website and email services. 
  • Digital booth and media-delivery services. 
  • Cloud storage. 
  • Payment processing. 
  • Accounting and business administration. 
  • Other technology necessary to deliver or administer our services. 

We only share personal information where there is an appropriate reason to do so.


International Processing


Some technology providers we use may process or store information outside the United Kingdom.

Where personal information is transferred internationally, we take appropriate steps to ensure it receives the protection required by applicable UK data-protection law.


Security


We take reasonable organisational and technical measures to protect the personal information and event media we hold against unauthorised access, loss, misuse or disclosure.

No method of electronic storage or transmission can be guaranteed to be completely secure.


Your Rights


Depending on the circumstances and the lawful basis being used, you may have rights including:

  • Access to personal information we hold about you. 
  • Correction of inaccurate or incomplete information. 
  • Erasure of your information in certain circumstances. 
  • Restriction of processing in certain circumstances. 
  • Objection to certain processing. 
  • Data portability where applicable. 
  • Withdrawal of consent at any time where we rely upon consent. 

These rights are not absolute in every situation. For example, Inari Events may need to retain certain information to comply with legal obligations or to establish, exercise or defend legal claims.
